The EMarketing Module enables you to you to manage customer lists and all of your communication activities using broadcast e-mail messages. You can Initiate Communiation plus create and manage:
- Surveys and Messaging Campaigns
- Prospect and Mailing List
- Importing a Mailing List
- Communication Templates
You can also import prospect lists, send follow-up messages based on the information you have received, and create reports showing the results based on keywords or phrases.

EMarketing Setup
Customizing EMarketing Options for Your Organization
netFORUM uses drop-down lists for easy data entry. You will need to set-up the lists with information specific to the kinds of correspondence, mailing lists, and communication campaigns you will use (e.g., you will set-up types of mailing lists, surveys, opt-out categores, etc.).
BOLD text always indicates that the field is REQUIRED data.
You can add, edit, or delete data from the EMarketing Setup pages just as you would from any netFORUM child form. However, once a data element is used on a profile page or form, it can only be disabled or hidden but not deleted.
You can also access the Setup links from the Overview Group Item.
EMarketing Workflow
The following is the suggested order of tasks in setting up and managing your EMarketing correspondence and its options in netFORUM:
- Define the business rules you will use for the correspondence your organization will create and send. Consider, for example, the types of communication you already send such as whether it's e-mails requesting membership renewals, requests for information, monthly newsletters, and so forth. How is each communication sent; through email or fax? Do you send them once a month, once a week, or sporadically? Do you email prospects as you receive them or on a schedule? Do you have a template you use for each such as a well-formatted HTML email or does someone send just a well-worded email? Do you have mailing lists for both? In what format are your mailing lists currently stored; in an Outlook distribution list, in an Excel spreadsheet or in some other format? Once you know the answers to these kinds of questions, or have at least considered them, you are ready to begin EMarketing Setup which is your next step.
- Set-Up the EMarketing Drop-Down Lists - Many options available in the drop-down menus when you begin managing your EMarketing Templates and Mailing Lists are set-up in EMarketing Setup. Before you begin creating templates and adding mailing lists, you must specify what types of mailing lists will be created, what types of opt-out categories will be available for members should they not want to receive mail, and even what types of surveys will be used should you choose to create them. All these functions are defined within EMarketing Setup.
- Choose and Add Your Templates. Once your set-up values have been defined, you need to decide which of the netFORUM baseline templates provided will suit your needs. You can List all templates and view them (limited only by your user preferences and the number of records you may show on the page at once) by simply opening them. If you do not see a template you want to use for a particular purpose, you can also create custom templates by creating your own. Keep in mind the correspondence you currently send and will likely need to send in the future that you brainstormed in step 1.
- Create your Mailing Lists and Prospect Lists. Once your templates are in place, you are ready to create the Mailing Lists and Prospect Lists that will use them. Further, keep in mind that when you create a mailing list you can specify if it should be a seed list. This is an important distinction when sending out future communication.
- Create and Maintain Messaging Campaigns Finally, you can use netFORUM to create and maintain all your future messaging campaigns. This may include Calls to Action where you expect responses from your members and mailing lists and where the correspondence is ongoing for a defined period of time. Or, this may also include Surveys that netFORUM also manages for you. netFORUM now makes sending correspondence easy once you have the tools in place.
After your EMarketing information has been set-up, manage the EMarketing and correspondence information from the template, mailing list, and CTA profiles including the common tasks detailed below.
